Job Description

Our client, a well-known residential construction company based in Paarl, is looking for an Office Administrator to oversee and implementing Administration aspects.

KEY PERFORMANCE AREAS

* General Office Administration / Reception duties

* Organizing and diarising Directors’ Meetings and events

* Printing, scanning and sending all documentation as instructed by Directors

* Upkeep of Hard Copy Filing System for each Project in accordance with Standard Filing Format

* Manage Insurance (Company / Office equipment)

* Liaise with suppliers

* Setting up and management of our Electronic System (Smartsheet) for each project relating to Quotations

* Apply Standard Operating Procedure to obtain Quotations relevant to each project by issuing plans / designs to suppliers and subcontractors

* Verification of Quotations

* Request Quotation approval

* Obtain quotations on Variations

* Check status of Letters of Good standing with Building Industry Bargaining Council (BIBC) of subcontractors

* Keep Material Order Form updated for each Project Manager, and submit orders to suppliers electronically

* Keep our Projects List updated

* Control Delivery Notes

* Attend to Site Handover applications, Water & Electricity Connection, Order Site Boards, and attend to Health & Safety requirements

* Attend to application for Occupation inspections and Occupation Certificates

* Keep key dates updated on required electronic system (Smartsheet)

REQUIREMENTS

* Bilingual – Afrikaans & English – excellent communication skills

* Neat, presentable and well-organised

* Computer literate, MS Office (Outlook, Word, Excel)

* Own transport

* Residential Construction related administration experience advantageous

 

SALARY

* R8 500 per month
